Before a vehicle leaves China, the most important work is often neither the online search nor the ocean voyage. It is the controlled handover from a selected vehicle to the export port. A buyer should be able to see what was checked, what work was agreed, who receives the vehicle at each stage, and which documents are ready before the shipment is released.

This division should be clear before any booking or final payment.
Start with a release checklist, not only a purchase confirmation
Once the seller confirms the vehicle, turn the commercial agreement into a release checklist. It gives both sides a single reference for the vehicle that will be inspected, prepared and delivered.
- VIN or chassis number, make, model, model year and agreed configuration;
- exterior and interior condition expected at handover;
- odometer reading recorded at inspection and again before loading;
- included keys, charging equipment, spare wheel, manuals and accessories;
- agreed repair, cleaning, tyre or charging work, if any;
- the intended port, shipping method and cut-off dates supplied by the carrier or forwarder.

Inspection should create evidence the buyer can review
A pre-shipment inspection is not a promise that a used vehicle has no future faults. Its job is to record the vehicle’s observable condition at a known point in time and identify differences from the agreed specification. A practical record normally includes VIN confirmation, photos or video of exterior panels and cabin, tyre condition, instrument-cluster warnings, keys and supplied accessories. For an EV or plug-in hybrid, the available charging state, warning indicators and the agreed battery-report scope should be documented rather than assumed.
Ask for the evidence before instructing final transport. If something differs from the agreement, decide whether to accept it, request a remedy, adjust the transaction, or stop the release. This is far easier while the vehicle is still accessible in China than after port delivery.
Prepare the vehicle for its actual shipping method
Preparation depends on the carrier, route, terminal and vehicle type. Do not treat a generic checklist as a carrier instruction. The booked carrier, freight forwarder and terminal provide the applicable acceptance requirements and deadlines. Their instructions may address fuel level, battery state, loose items, keys, alarm settings, damaged vehicles, dangerous-goods declarations or documents for electric vehicles.
Typical buyer-approved preparation is limited and traceable: clean the vehicle for condition photos, secure agreed loose accessories, keep keys and documents under controlled handover, and complete only the repairs or accessories listed in writing. Do not add unapproved equipment or make claims about road legality in the destination market. Import rules differ by country and may require local confirmation before shipment.
Plan inland transport around the port cut-off
Inland delivery is a scheduling task, not simply a truck booking. The transport plan should identify the pickup location, vehicle receiver, contact window, port or consolidation yard, and the latest acceptable arrival time. Weather, traffic, terminal congestion, inspection holds and document corrections can affect timing. A fixed transit promise is therefore not responsible without a confirmed carrier schedule and local transport availability.
Before dispatch, confirm the current vehicle location and that the VIN matches the release checklist. At pickup, record the handover condition and odometer. At the port or nominated yard, obtain a receiving record or other evidence that the vehicle was accepted by the appointed party. This chain helps resolve a common question: was the vehicle still under seller control, in domestic transit, or already handed to the shipping side?
Keep the export-document file aligned with the shipment
Document requirements depend on the transaction, vehicle status, destination and shipping method. Buyers should confirm destination-country requirements with their own customs broker or local agent before shipment. In China, export declaration and related commercial/shipping documents must describe the actual vehicle and transaction consistently. China Customs publishes its official information through the General Administration of Customs; the final document set should follow the actual customs, carrier and contractual requirements, not a blog checklist.

What “port handover” should mean to a buyer
Port handover should have a defined recipient and evidence. It may be delivery to a terminal, a forwarder’s yard or another carrier-appointed location, depending on the booking. It does not automatically mean the vessel has sailed, customs has cleared at destination, or the buyer can register the vehicle locally. Ask which milestone is being confirmed:
- vehicle collected from the seller;
- vehicle accepted at the nominated yard or terminal;
- export documents submitted or completed where applicable;
- carrier booking confirmed;
- loaded, departed or transshipped, if these later milestones are included in the service.
